Overview
The Lottery Readiness Check, found at the top of the Lottery Dashboard page, allows you to confirm that key elements of a lottery are configured prior to running the lottery. The Lottery Readiness Check will not prevent you from running a lottery, but it is recommended that you use this tool to ensure lottery items are set up for a successful lottery.
The items reviewed (or validated) during the readiness check are:
- Forms
- Lottery Design
- Lottery Group Design
- Lottery Cutoff Numbers
- Offer Expiration Dates
- Notification Templates
- Boundaries
Permissions
- To view the Readiness Check button on the Lottery Dashboard page, a user must have the “Lottery: Run Lotteries” permission enabled.
- To manage/configure which items are included in the Lottery Readiness Check, a user must have the “Settings: Schools/Programs” permission enabled.
Using the Lottery Readiness Dashboard
- Apply filters to select your Program, Program Category, School, Schools Level, or Grade.
- Note the number of programs requiring review (in red banner) and click the arrow icon to the left of the program name to expand the view for additional details.
- Review the Readiness Check icon and Notes columns for the required next steps:
- Items with a Green checkmark are Configured: the item has been configured as expected and the lottery can be run without that item causing an error.
- Items with a Red exclamation point are Not Configured: something has not been configured correctly or at all for that item. The lottery either cannot run without that item, or it will not work as expected without the item configured properly.
- Items with a Blue diamond Require Attention: an item may or may not need to be configured, but should be reviewed.
- For example, if boundaries are uploaded in the system but not attached to lottery related items (i.e. priorities), a blue diamond will appear. Or, if cutoff numbers are set to 0 the system will display a blue diamond to ensure you intend to only generate a waitlist for that grade(s).
- For items needing attention or configuration, click the hyperlink to navigate to the related page to make updates or review settings. Hyperlinks will display based on user permissions*
- After updating your lottery items, return to the Lottery Readiness Dashboard and click the Refresh icon next to each Program Name. This will trigger the system to run the validation again to confirm that issues have been resolved or reviewed.
Configuring the Lottery Readiness Dashboard
Use the gear icon above the Apply Filters button to configure which items you want included in the Lottery Readiness validations for each of your programs (or in bulk for a group of programs).
Then, follow the instructions on the Manage Schools & Programs page for options to configure the Lottery Readiness Check.
For a single program, click the pencil icon to navigate to the Lottery Settings tab. Use the “Manage Readiness Check” button to display the list of items included in the readiness validations.
The Manage Lottery Readiness Check modal will display lottery-related settings for you to include in your readiness validations.
- Example: if the lottery for this program does not use the Auto-decline/Offer Expiration feature or Boundaries (for a lottery priority), then uncheck these items from the Readiness Check or they will flag as red (Not Configured) or blue (Requires Attention).
- Note that 3 items will always be pre-selected and grayed out: Form, Lottery Design, and Lottery Group (“General” is the required default). These 3 items must be assigned to all programs for the lottery to work as expected; thus they will always be included in the Lottery Readiness Check.
For multiple programs (or a program category) that use the same lottery settings, you can also manage the Lottery Readiness Check in BULK rather than one program at a time. From the Bulk Actions menu, select “Set Lottery Settings”.
Scroll down to the Lottery Readiness Check section and expand the accordion view to display the lottery items to be selected as part of your Lottery Readiness Check. Leave the accordion view expanded/open and click “Update Programs”.
Boundaries and the Lottery Readiness Dashboard
During the Lottery Readiness Check, the system will indicate if a program’s boundary needs attention or configuration based on the conditions below:
