What are Flags?
In Enroll, Flags are used as an alert to admins that an application or registration may need further review. Several types of flags are available by default, and you can add custom flags if needed.
- Flags appear on records in the applications and registrations management areas
- Flags needing review are red
- Flags that have been dismissed are grey
- A count of flags that have not been dismissed is visible next to the flag
- Clicking the flag icon will display additional details about the flags that were triggered for that record
- The "Dismissed" box next to each flag must be checked to change the count of flags displayed next to the icon, and to change the flag color to grey when all flags have been reviewed and dismissed
- Within an individual application or registration record, a View Flags button is available at the top of the page to display the flag details modal
Important Note: “Guardian Access”, found on the Settings > Date & Time page, must be enabled for the school year for flags to trigger and recalculate when changes are made to students, applications, registrations, etc.
Default Flags in Enroll
Several default flags are available in Enroll and may be reviewed under Settings > Custom Data > Flag Types:
- Age Verification - A student’s age does not fit the expected age range for a particular grade
- Duplicate Student Detected - If there is more than one student record with the same first name, last name, and date of birth
- Ineligible Due to Changes - The program/school selection may no longer be valid after the student’s information is changed
- Possible Duplicate Student - Student matches another student's DOB but with reversed First Name/Last Name OR matches two of the following: First Name, Last Name, or DOB

Student is a Multiple - Student has been identified as a multiple (twin, triplet, etc.) This is determined by having matching information for “Same Guardian Account” and “Same Grade”. Additionally, you can choose to require matching on “Same Address” and “Same Birthday (± 1 day). “Parent Access” must be enabled for the school year for the “Student is a Multiple” flag to work (Settings > Date & Time)
- If data is changed so that a student no longer meets the criteria of a multiple, the multiples flag will be removed from relevant applications
- If data is changed so that a student now meets the criteria of a multiple, the multiples flag will be added to relevant applications

Non-Validated Address - If the geocoder in Enroll cannot validate an address. This can be caused by:
- A guardian typing in an address instead of selecting it from the drop-down list of addresses
- An address being new, incorrect, unregistered, marked as vacant by the USPS, or within a postal code primarily serviced by PO boxes
Creating a Custom Flag
- Navigate to Settings > Custom Data > Flag Type
- Click “Add New Flag Type”
- Enter a name for the flag type
- Select which record to save this flag to (Student, Application, or Registration)
- Enter a message that will display to the admin when they review the flag
- Enter an internal description of the flag. The internal description will show in the Flag Types settings area. You can choose to show this alert to guardians as well. If you choose to alert guardians, they will see the text entered in the “Flag Message” field.
- Select whether this flag is for Applications and/or Registrations
- Using the rules engine, specify what logic will trigger this flag and if this flag will be triggered by ANY or ALL conditions that are met. Set the conditions based on the field, an operator, and what value should be in that field. (e.g., Flag triggered if a student answers 'Yes' to the question "Does this student have an IEP?"
- Click “Save Flag Type” once the trigger(s) is configured
