Seat Availability Report

The Seat Availability Report uses data from Seat Tracker to give you a holistic view of seat availability in your district by school, program, and grade level.

• Seat availability can be displayed to guardians during the application process and in SchoolFinder, so families can view seat availability when searching for school programs.

Viewing the Report

1. Navigate to Reports > Seat Availability Report.

2. Make a selection from at least one filter (e.g., Schools(s)). You can make multiple selections from each filter.

   

3. Click “Apply Filter”.

4. Each school is listed on the left with a column for each grade and the total number of seats available for all programs at that grade level. The legend shows whether there is school/program seat availability, no seat availability, or program availability only (The school may show zero or negative seats available, but one or more programs at that school could still have seats available.)

   

5. The school accordion can be opened to display the seat availability for each program that exists at the school.

   

Set Up Grades for Seat Availability Report

The Seat Availability Report displays grades configured under Settings > Schools/Programs > Manage Grades.

1. Edit or add grades on the Manage Grades page if necessary.

   

2. Grades will be visible by school and program on the Seat Availability Report.

   

Set up Seat Availability: Guardian View

Available seats can be displayed for guardians in two ways; actual seats available or by range (no availability, limited seats available, seats available).

To set the view for guardians from the Seat Tracker page:

1. Click the “Guardian View” button.

2. Set the view for seat availability by program or in bulk.

   • To set the guardian view for an individual program:

     1. Click Edit in the Actions column for a program.

     2. Click "Seat Availability: Guardian View".

   • To set the guardian view in bulk:

     1. Select several or all programs using the checkboxes to the left of the program name.

     2. Open the Bulk Actions menu.

     3. Select "Set Seat Availability: Guardian View".

3. Choose one of three guardian views.

   • “Hide seat availability” (this is the default)

   • “Display actual number of seats available”. Enter a number in the fields to specify the label and color of the circle displayed to guardians based on the number of available seats.

     

   • “Display seat availability as a range”. Enter a number in the fields to specify the label and color of the circle displayed to guardians based on the range of available seats.

     

4. Click “Save Open Seat Settings”.

Hide Seat Availability on SchoolFinder

If you use SchoolFinder but do not want seat availability for programs displayed for families, check “Hide Seat Availability on Finder” on the Programs page.

You can also hide seat availability for specific programs.

1. Select the programs on the left that you want to hide in SchoolFinder.

2. Open the Bulk Actions menu and select “Set Seat Availability: Guardian View”.

3. Select “Hide seat availability”.

   

4. Click Save.
