Downloading Historical Data
Although a majority of your historical data will be copied for you from your current Legacy Enrollment site to your new Enroll site, it is still a good idea to get a copy of that data for your records! In each enrollment year that you have partnered with SchoolMint (the year drop down in the top right corner), download the following reports from Reports > Custom Reports.
1. Application Data
2. Registration Data
3. Re-Enrollment Data
4. All Siblings
Don't have all of the above reports? That's okay! Download all of the SchoolMint standard reports that you do have based on your subscription level. You'll see in the third column called "Creator" that SchoolMint made it.
Form Clean Up > Deleting Old Forms
Please delete any forms that are not currently in use. To do this, first confirm that you are in the current enrollment year (2024-2025) using the year drop down in the top right hand corner. Next, navigate to Settings > Manage Forms > Custom Forms. Review each form and confirm that it is still needed for your enrollment processes. Any forms no longer needed can be deleted from the 2024-2025 year only by selecting the Action button to the right of the form name and clicking delete. You’ll need to confirm that you are wanting to delete the form.
Form Clean Up > Naming All Custom Fields
Any forms that you are keeping need to be edited with your new custom data dictionary convention. In Enroll, custom data is able to be named using easy identifiers so it can be surfaced in other areas of the platform with ease (reporting, Rules Engine, filtering, etc.). We need your help naming your current custom fields!
From Settings > Manage Forms > Custom Forms, edit each form that you are keeping and select on each custom question. On the left menu (where you make edits to the questions) you’ll see a new field entitled “Name”. Please provide your desired custom field name following these rules.
1. The name cannot start with a number.
2. Alphanumeric values (lower case) only.
3. Underscore is permitted.
3. No spaces, dots, dashes, or asterisks in the name.
Failure to name all custom fields will result in name pre-assignment by the SchoolMint team during configuration.
Users/Admin Clean Up
Please go through the list of system administrators under Settings > Add/Manage Users and delete any users who should no longer have access to your platform.
