Learn how to set a future Auto Decline/Expiration date for Registration forms
If you are using the Auto Decline Registrations lottery setting, and your organization makes offers to families well before your Registration window opens, read on for details how to configure this setting for success.
Lottery Setting: Auto-decline applications if Registration is not submitted by X days after accepting the seat or X date, whichever comes first. This lottery setting may be enabled at the Global or Program level.
Scenario: We would like all Registration forms to be completed within 10 days or the student's offer is auto-declined.
Example Dates:
- February 15: Lottery date, offer notifications made to families
- March 1: Registration window opens, form available to families
Configuration: How do we configure the Registration Submitted deadline so that families who accept our offer on February 16 will not be auto-declined on February 26 (10 days after acceptance), before our Registration window even opens on March 1?
Solution:
Step 1:
- Set the "Date" field to 3/10/2024, 10 days past the date the registration opens. This Date field will drive your 10 day policy to submit the Registration form.
- The setting requires that a number in the "Days After Accepting Seat" field is input, so set this to a very high number that will not be reached before the 3/10/2024 date is reached. This example uses 50 days that will never be reached before the 3/10/2024 date arrives.
Step 2:
- On March 1, 2024, set the "Days After Accepting Seat" to 10 days
- Update the "Date" field to a date far in the future such as 12/31/2024. As of March 1, the "Days after Accepting Seat" field will drive the system behavior because it will come before the date set for the end of the year. This will allow newly accepted offers to use the 10 day rule.
