Importing Lottery Cutoff Numbers

Learn How to Import Lottery Cutoff Numbers in Bulk Using Sync Service

For organizations with numerous programs that run lotteries, the Sync Service option to import cutoff number information in bulk may be preferred. One of the following permissions is needed to import lottery cutoff numbers:

• Sync Service Limited + Manage Cutoff Numbers
• Sync Service Full Access

Step 1: Select the Program, School Level or Program Category and click Apply Filters. Then use the Export Cutoff Numbers button to generate a CSV file.

Step 2: The only column that needs to be updated is the "Original Cutoff (from settings)" column. All other columns will be formatted correctly with the correct IDs in place.

• Each row will contain a grade level that is available at the program
• If enabled, you would see a lottery group at each grade level for each program

Step 3: Log in to Sync Service, add a Ad Hoc connection and then select `Import Cutoff Mapping` in the left sidebar.

Step 4: Configure the connection by selecting your CSV file to be uploaded and enter in the required field information and sample values.

• Enter "Program ID" for Program Unique ID Field
• Enter "Lottery Group ID" for Lottery Group Unique ID Field
• Enter in "Lottery Sub Group ID" for Lottery Sub Group Unique ID Field
• Enter "Grade" for Grade Field
• Note: fields “Lottery Group ID” and “Lottery Sub Group ID” are required fields in the import file, even if lottery Groups/Sub Groups are disabled in your site

Cutoff Number Examples

• Use values listed in your uploaded CSV file
• Enter numerical values for Program ID, Lottery Group ID, Lottery Sub Group ID, Grade
  • Enter "0" in the Lottery Sub Group ID if Lottery Groups are not in use
• Do this for each example you want to use

Step 5: Map the fields as seen below and Save.

• If Lottery Groups are disabled in your site, the sync ignores the values in “lottery_group_id” and “lottery_sub_group_id” columns in the import file and imports 0 values into Enroll.
• If Lottery Groups are enabled in your site, the sync matches the values of “lottery_group_id” and “lottery_sub_group_id” with these fields in Enroll and imports cutoff numbers into those groups and subgroups.

Step 6: Click the SchoolMint Sync logo to return to the main page. To trigger the import, use the 3 dot menu on your Ad Hoc connection card and click Import Cutoffs.

Step 7: Return to the Lottery Cutoffs page in Enroll (Settings > Manage Lotteries > Lottery Cutoff Numbers) to confirm your updated numbers appear.
