What is "Dynamic Views"?
With Dynamic Views, admins can create custom filters on the application and registration tables. These filtered views can be saved as a private view or shared globally with the organization.
Dynamic Views are available in the applications, registrations, lotteries, and students modules. These dynamic views use the existing filters in these modules and then allow you to apply more filters on top of those using the rules engine. Just like in the report builder, you'll find the fields you want to filter by to find student applications that meet the required criteria. These dynamic filters are able to be saved for continued future use! They can also be set as the default view so that accessing any of these modules automatically applies those filters.
Creating and Accessing Dynamic Views
To create a dynamic view, you'll want to select all of your quick filters then choose to Add Filters on top of that. You'll use the rules engine in a pop-up to add any other required filters.
Choose Quick Filters
Add Filters
Once the filters are created, you'll be able to save them as a "Saved View" to use later. You can also set the access settings to make this view available to other users. This allows admins to create filters for other users without giving them the option to create their own views.
1. Click "Save View"
2. Give it a name
3. Choose the access settings
4. Adjust the filters if necessary
5. Choose what column to sort the data by
6. Reorder columns and/or remove and add columns as needed
Editing Dynamic Views
Dynamic Views can easily be edited by selecting the available pencil icon.
Note: Any quick filters that were used in the view setup will not be able to be edited. A new view should be created with the appropriate quick filters and other filters in place.
1. Select edit
2. Choose which view to edit
When the admin makes an edit to a dynamic view they have the option to "Save As" or "Save Over".
- Save As will create a `Copy of XXXX`
- Save Over will overwrite the current view.
These options are based on user permissions which you can read more about below.
Setting a Default View
Setting a default view will allow that view to automatically load matching filtered results when you access the student, application, or registration modules. To set a default view you will select to edit views then select the radio button under the "Default Views" column for the view you want to set as your default view.
Dynamic Views User Permissions
All admin users will be able to create Dynamic Views for themselves.
Share Globally
When admin is part of a user group that has "Share Globally enabled, that admin will have access to share any view they create with other admins. When Share Globally is disabled the admin will NOT have access to share views they create globally.
Edit/Delete Views
When "Edit/Delete Views Created by Others" is enabled, the admin will have access to edit and delete views other admins have created.
- This gives admins the ability to clean up/manage views for the org.
- The admin will see all views they have created as well as all globally shared views.
When Edit/Delete Views Created by Others is disabled the admin will NOT have access to edit or delete views that are not their own.
