Q: Our organization currently uses SchoolMint Legacy or SmartChoice. What does the launch of Enroll mean for my current system and support processes?
We will continue to fully support your current system without any changes in the level of service. The new platform release will not change how we communicate with you and support you on your current system. We will work with your team on a timeline and a plan to transition from your current system to the new platform when it is appropriate for your organization.
Q: I like my current system and am not interested in upgrading at this time. Do I have a choice?
Of course! The current SchoolMint and SmartChoice platforms will be supported at least through the next school year, by which time we expect you will want to move to Enroll for its modern platform and many advantages for both admins and families.
We expect that some customers will want to upgrade as soon as possible, while others may want to wait until certain features are added. Check out this article for more information: What Is Enroll? An Overview
Q: What will upgrading to the new platform involve?
Every implementation of a new system requires good change management so that your organization is well prepared for the upgrade to the new platform. Planning and communication are key. However, we think you’ll find that Enroll is easier to use and more customizable to meet your needs, and we have migration tools that will migrate most of the data and relevant settings from SchoolMint or SmartChoice into Enroll with as little impact to you as possible. You will find many new features in Enroll that offer admins more control of their own configurations, and we can help you as much or as little as you choose for the initial setup and ongoing support.
When you migrate to Enroll, your data will move over to the new platform, and you will no longer have access to your former system. However, you should not need access by then.
Q: We are currently in implementation. How will my project be affected?
Your implementation will go forward as planned. If you are a candidate for the new platform, we may discuss your options with you to upgrade to the new platform if you are interested.
Q: Does Enroll have every feature I have today in my current system?
Enroll was built as a completely new platform with a drastically improved database, modern user interface, and many advanced features to improve usability and admin-enabled customization to meet your organization’s particular needs and preferences. The new platform does not have every feature built into the SchoolMint and SmartChoice platforms over the last decade. We have prioritized the most important features and new enhancements to provide the best experience for our customers and their families, and we expect that some of the other features may not even be needed anymore. In addition, we are actively building on a robust roadmap for future releases, and we look forward to continuing collaboration with our customers on what would bring the most value to you and the families you serve.
Q: How can I learn more about Enroll before deciding when to upgrade?
We are here to help! Please check out the resources posted on this site, and consider following the topics so that you are notified when we post new articles. We are actively creating resources to help you learn more about Enroll and plan your migration, including a preview site with test data that will become available in early 2022. Check this article Who to Ask about Enroll for ways you can reach out to us with questions at any time.
Q: What if I need to customize Enroll for my organization?
We think you will be very pleased to find that as an admin, you will be able to customize many things in Enroll that you currently need to submit a request for our services or development teams to do for you. Or you can continue to rely on our Professional Services team to handle that configuration for you if you choose. You may find that you will want us to help you do the initial configuration but then you will be comfortable handling modifications or updates yourself. The customers who have been beta testing with us have been thrilled to see that in Enroll, they can configure their own lottery designs, priorities and flags, boundaries, and integration data mapping and transformations, for example.
If there is a particular need for your organization that cannot be met with out-of-the-box functionality in Enroll, we will work with you to determine the best solution as a customization project.
Q: How will my customizations in my current system be handled in Enroll?
It is not possible for us to migrate most customizations into the new platform (some custom reports may be able to migrate). However, we expect that many customizations will no longer be needed in Enroll or can be handled in a better way. When considering when to upgrade to Enroll, any current customization should be evaluated to see if it is still needed or could be handled by existing functionality on the new platform. If any remaining customizations are still a priority, we will work with you on a new customization project on a case-by-case basis.
Q: How will my current contract or pricing be affected?
We are simplifying and standardizing our pricing model for Enroll, which will be more similar to current SchoolMint Legacy customers but different than SmartChoice today. Every organization has its own complexities, so please contact your Customer Success Manager to learn more about Enroll and pricing for your particular needs.
Q: Can I customize the parent/guardian portal with our school’s style and info?
Yes! We built in features so that you can show your own logo, favicon, and organization colors (primary and secondary), in addition to the text and configuration you will set for your schools/programs and application forms. You can also add URL links in the description fields to provide quick access to more information you have posted online elsewhere to support your families. You can also localize the system default text as well (for example, changing “child” to “student”).
Q: What languages do you currently offer for translations for families in Enroll?
Default English text and Spanish translation text are offered out-of-the-box to all customers for any parent/guardian-facing features. In addition, you can apply localizations to the system text as well (for example, changing “child” to “student”). Note that the admin portal is not customizable, just the parent/guardian portal.
We offer additional translation languages for purchase, where we have obtained professional translations of all parent/guardian portal system text for a particular language. Once enabled in your system, you can then make any updates to the translations as you see fit. Currently, the following languages are offered (Spanish is included by default): Chinese Simplified, Arabic, Urdu, Tagalog, Vietnamese, Polish, Yoruba. We are able to add more languages if there is demand, and we are also planning to add a feature in 2022 to use Google Translate to easily add browser translation text without the need to purchase a professional translation.
The number and variety of languages that organizations need to provide for their families has increased and changed over the years, and customer feedback indicates that browser translations like Google Translate are not good enough, but translation is too time consuming for organizations to provide themselves. We would like to hear from you on which languages are most important for your organization, and if you are interested in SchoolMint providing professional translations for you to purchase at a reasonable price. Here’s a link to our survey on Enroll Translations/Languages. This feedback will help us determine which translations and features to prioritize for us to add to Enroll. Thank you!
Q: What system integrations will be available in Enroll?
Our Sync Service is a new and powerful import/export tool in Enroll that we are really excited about! For Enroll v1, we started with the ability to run nightly imports using the Aeries, PowerSchool, or Skyward API, or by importing CSV files on an SFTP server. As an admin, you can map fields from your data source to Enroll (including your custom data fields), and you can configure transformations for each field, all within our Sync Service user interface. In Enroll v1.3, we also added ad hoc student imports, and ad hoc or scheduled exports back to your SIS or via CSV export files. Much more to come!
