Permissions
The Boundaries module is available to admin users with the following permission:
- Settings: Boundaries
Additional boundary actions are controlled by the permissions:
- Manage Boundaries: Ability to view, import, delete, and search boundary associations (dependency: Settings: Boundaries)
- View Boundaries: Ability to view and search boundaries (dependency: Settings: Boundaries)
Overview
Using the boundaries module found under Settings > Boundaries, admins are able to:
- Upload boundaries
- Assign boundaries to schools
- Compare student addresses to a boundary to determine whether an address is inside or outside of the boundary
- Create eligibility rules & restrictions to help with the enrollment process, such as:
- In-district students receive lottery priority over out-of-district students
- Only in-district students are allowed to apply to some or all programs
- Restrict student applications to a program based on their school zone
- Students must live within the zone of the school they register for
Importing Boundaries
On the Import Boundaries tab, use the "+" button to select your KML file.
- Creating KML Files: If your organization does not have boundary files already created, you can create your own using the My Maps feature in Google Maps. Google has several tools and help articles to assist you in creating KML files:
Use the dropdown menu to select the Boundary Type that corresponds to what the shape file defines. This help article provides additional information on each Boundary Type:
- District Boundary
- School Zone
- Priority Zone
- Other
To delete any existing boundaries, select the option “Delete boundaries that are not in the import file”.
This will completely remove ANY boundaries from Enroll that do not have a corresponding file name in the imported file(s).
- For example, an existing school zone boundary is named “Boundary XYZ”. If you upload a KML file without a boundary named “Boundary XYZ” in the file and select School Zone as the boundary type, then the existing “Boundary XYZ” will be deleted.
Enter an optional Name Attribute if your boundary has a special name attribute key.
Important Notes:
- Boundaries are annual (year-specific), meaning that if your boundary shape changes from one year to the next, your boundary rules/configurations in each year will use the year-specific boundary
Boundary List
For each imported boundary, the Boundary List tab displays the following information:
- Boundary Name
- Boundary ID (assigned by the system upon import)
- Boundary Type
- Date/Time the boundary was last updated
- Name of the KML File
- Details about the boundary
- Delete action
- The Details button on the Boundary List displays a modal with additional information on how that boundary is being used in the system.
-
- Example: Dogwood ES School Zone boundary above is assigned to Dogwood Elementary School and Birch Daycare. This identifies which schools are associated with the boundary and allows you to build rules and restrictions based on the boundary.
-
- Example: The Lafayette Test district boundary above is being used in the logic for an eligibility rule (Eligible to Transfer), two lottery priorities (In District, Out of District) and a flag (Out of District - Lafayette).
The Delete button on the Boundary List will surface a warning if the boundary is being used for configurations (rules, priorities, flags, saved views, etc.) in the system. You must first remove the boundary from where it is being used before the system will allow you to delete it.
Map View
Click the Map View tab to view boundaries on a map.
- Search by an address, and the school boundaries related to that address will be highlighted on the right side of the page
- A banner will be displayed above stating whether the address is within or outside the school district/organization boundaries
- Show or hide boundaries using the Show icon on the right
- See this help article on the Student Address Check feature available in the Student Profile
