What is Auto Decline on Lottery Execution (upon Offer)?
This powerful and behind-the-scenes lottery setting tells the system to auto decline a student's applications to other programs based on the combination of Rankings + configuration options you select per your lottery policy. Configuration options and descriptions are outlined below.
- Note: this setting is used at the Form Process level, meaning that it will take action across all of the student's program choices that use the same application form process. Ranking must have been enabled and captured for all applications in order to take advantage of this setting.
Offered List
Auto-decline student's applications on offered list ranked as LOWER CHOICE if offered higher ranked choice
- When enabled, any applications that have been ranked as lower choice and placed on an offered list will be auto-declined if a higher choice application is placed on the offered list.
- Example: Jose applied to Programs A and B
- Rank 1: Program A - Offered
- Rank 2: Program B - Offered >> Auto Declined during lottery execution
Waiting List
Auto-decline student's applications on waiting list ranked as HIGHER CHOICE if offered lower ranked choice
- When enabled, any applications that have been ranked as higher choice and placed on a waiting list will be auto-declined if a lower choice application is placed on the offered list.
- Example: Janelle applied to Programs A,B, and C
- Rank 1: Program A - Waiting >> Auto Declined during lottery execution
- Rank 2: Program B - Waiting >> Auto Declined during lottery execution
- Rank 3: Program C - Offered
Auto-decline student's applications on waiting list ranked as LOWER CHOICE if offered higher ranked choice
- When enabled, any applications that have been ranked as lower choice and placed on a waiting list will be auto-declined if a higher choice application is placed on an offered list.
- Example: Yaritzy applied to Programs A and B
- Rank 1: Program A - Offered
- Rank 2: Program B - Waiting >> Auto Declined during lottery execution
When does the Auto Decline on Lottery Execution (upon Offer) setting get triggered?
- during the lottery run execution process, AND
- whenever applications are placed on the offered list post-lottery
- this includes moving applications up from the waiting list to the offered list, or moving (auto-add) eligible applications to the offered list, if there is no waiting list
- Don't let the setting name deceive you, this Auto Decline on Lottery Execution is triggered during the lottery execution and for all offers made thereafter!
How to identify Auto-Declined Offers?
Include the Lottery Ranking fields below in a Saved View in your Applications Module and on your Lottery Lists page:
Table: Lottery Rankings
Fields:
- lottery_lists: Offered or Waiting
- accepted: Accepted or Declined
- accepted_declined_by: System=S, Parent=P, Admin=A
- Note: this field also includes Auto-Declines that the system makes when an Offer Expiration deadline is missed (if you have enabled that feature)
You can also view the Application Placement History for a student's application to confirm a system-triggered auto-decline.
