Where can a Note be added?
Notes can be added by an admin to a Student Profile, Application, or Registration record. There are three (3) permissions associated with Notes that may be assigned to a User Group:
How is a Note added to a Record?
In the Students, Applications, or Registrations modules, click the Student Profile icon or the Notes icon for the student. From within the student profile, navigate to the Notes tab in the left sidebar. Clicking the Notes icon will take you directly to the Notes editor screen.
The Notes editor screen will display with the following options:
- Toggle on/off if you want this note to Display to Guardians
- Dropdown menu to Save Note To
- Dropdown menu for Note Type
- Text box to draft the content of the Note
When the Display to Guardians slider is enabled:
- All fields are shaded green when the Note is designated as Guardian facing
- Email (if provided in account for communications) is sent to the guardian notifying that a Note has been added
- Email is logged in the Guardian Message Center
- Application on the Guardian Dashboard displays the Note icon with a red dot
- Clicking the red dot note icon displays the content of the Note
There are several options where to Save the Note:
- All applications for the student
- All applications for all students of the same guardians
- All registrations for the student
- All registrations for all students of the same guardians
The Note Types are listed in the dropdown menu. You can create your own Note Type using the Manage Notes Types button.
The Manage Notes Types button directs you to the Custom Data page where you can create your own Note Type.
Add the content of your Note in the editor box (up to 500 characters) and Save.
The note will be saved at the bottom of the Notes tab in the Student Profile and at the bottom of the Application or Registration record.
At-A Glance Indicator that a Note is Present
In the Students, Applications, and Registrations modules, when a Note has been saved to the record, the Notes icon will change color from gray to blue.
When hovering over the blue Notes icon, the number of Notes present will be displayed.
