What's included in this article?
Finding the Applications Module
Access the Applications module by selecting the "Applications" icon in the navigation bar (shown below). The Applications module is where you will manage and review all applications. Here you can search for applications by student, eligibility status, grade applying, assigned priorities, and much more!
- Note: To enhance performance, data does not load automatically on the Application, Registration, and Student pages if the “standard” view is selected as the default view. To load data on these pages upon arrival, create a new view and select it as the default view.
Application Counts
The first thing you'll see when accessing the Applications module is a count of Total Students, Total Applications, and Submitted Applications. By default this number is pulling students who have SUBMITTED and NOT WITHDRAWN applications. To show other application counts, use the quick filters or dynamic views. With dynamic views, it is possible to have different default counts.
Total Students
- This number includes the total amount of individual students who have applications that meet the filtering criteria.
Total Applications
- This number includes the total amount of individual applications that meet the filtering criteria. If students have the ability to apply to multiple programs, this number can vary from the total student count.
Submitted Applications
- This number shows the total amount of individual SUBMITTED applications that meet the filtering criteria. Like with Total Applications, if students have the ability to apply to multiple programs, this number can vary from the total student count. This number can also vary from the Total Applications count because it ONLY counts submitted applications. If there are filters in place to include withdrawn applications or not submitted applications, then this count will not include those apps.
Filtering
Filters can be applied in the Applications module that makes it easier to find applications that meet specific criteria for reviewing. The two filtering options are Quick Filters and Dynamic Views.
By default, applications will NOT appear until the "Apply Filters" button is selected for Quick Filters or a dynamic view is applied.
Quick Filters
Use Quick Filters to quickly find applications that meet some of the most common parameters required for reviewing applications for eligibility. There are three main categories these quick filters fall under:
- Filter by Status
- Filter by Application Attribute
- Filter by Student Attributes

Once you have applied any applicable filters, you can scroll down to view the results.
Dynamic Views
Besides the Quick Filters, it is possible to use Dynamic Views to filter more narrowly using specific student and application fields. Dynamic Views also allows you to add filters based on appeals, recommendations, and events!
Selecting "Add Filters" gives you the option to use the rules engine to find specific fields and filter by specific criteria/values:

Applications Table
This table will show all applications from students who have met the criteria specified in any used filters. The table includes:
- Eligible/Not Eligible/In Processing Status
- Any flags
- Application ID #
- Full Name
- Rank (if applicable)
- Program Category
- Program applied to
- Grade applied to
- Siblings
- Sub-Lottery Group
- Recommendations (if applicable)
- Date Application Submitted
- Action buttons
- View Student Profile, Edit Application, View Notes
Bulk Actions
From here, you can send an Email/Text Message in bulk or update Application Statuses in bulk.

Bulk Actions can be used when applications in the table have been selected using the checkboxes on the left-hand side of the page. You can select one student, several, or select all (using the checkbox in the table header row). To use Bulk Actions select the Bulk Action dropdown. You have the following options for Bulk Actions:
- Send Email/Text Message
- Update Application Status
- Download Forms/Attachments
- Resend Recommendation Requests
- Export
Action Buttons
You'll notice a few buttons to the right side of each application record. Hovering over each of the buttons will show you the name of the button/which page you'll be brought to if clicked. These buttons are:
- View Student Profile
- Edit Application
- View Notes
