What does it mean that leads are annualized?
Lead records are annual, meaning that information for leads can differ from one year to the next.
When leads complete an inquiry form, it is specific to the context of a particular school year.
When the platform is rolled over to create the new school year, admins may decide what data gets carried over.
How do I control what lead information clears on rollover?
Navigate to Settings > Forms > Recruitment > Manage Steps (next to the desired form) > Manage Fields > Edit (next to any field)
Under Advanced Options, you will see the other to Clear on Roll Over
If this option is enabled, the corresponding field's value will be cleared for all leads in the new school year upon rollover. Data will be maintained in the current year.
If this option is disabled, the corresponding field's value will not be cleared. The data will be maintained in the current year and in the new year upon rollover.
Are there any fields that cannot be cleared?
The following fields cannot be cleared upon rollover:
- lead_annual.guardian_first_name
- lead_annual.guardian_last_name
- lead_annual.guardian_email
- lead_annual.guardian_phone
- lead_student_annual.first_name
- lead_student_annual.last_name
- lead_student_annual.interested_schools
- lead_student_annual.interested_programs
How do I control which leads rollover?
Navigate to Settings > Recruitment > Settings tab > Rollover Settings
When Rollover Leads is enabled, leads in the current school year will populate in the new school year upon rollover. Admins may further filter which leads roll over using the following filters:
- Leads by Incoming Grade
- Leads by Stage
- Leads by Status
- Leads by School
- Leads by Program
Keep in mind:
- Selecting no filters will bring over all leads from the previous year to the next year.

When filters are selected, all conditions must be met for the lead to be rolled over.
- For example, if Grade = 2 and Stage = Prospect are selected, only leads that meet both of these conditions will be rolled over.
