The Enroll 2.4.3 maintenance release, deployed on September 18, 2024, includes the following updates:
- Disabled Grades and Sibling Grade Dropdown Field
- Reporting on Guardian Account Email and Lottery Data
- Editing Existing Fields in a Saved/Dynamic View
- Assigning Program/Grade Access to Reports
- Exporting Student Middle Name via PowerSchool API
- Field Requirements for TEA (Texas Education Agency) SID Field
- Updated Sync to TEA Functionality: Removing Applications No Longer on the Waitlist
Disabled Grades and Sibling Grade Dropdown Field
When a grade is disabled under Settings > Schools/Programs > Manage Grades, it will no longer be displayed in the Sibling Grade dropdown menu of a student's form. Note: disabled grades are never displayed in the Grade dropdown menu for a student applying.
Reporting on Guardian Account Email and Lottery Data
For reports that contain a filter on a field from the lottery_rankings table and the report contains the field `guardians_accounts.email`, the report will now accurately display the email associated with the Guardian Account.
Editing Existing Fields in a Saved/Dynamic View
When clicking into a Saved View to edit a field already included in the view, the system will now display the table and field name to be edited. Before this update, only the existing Field Label was displayed.
Assigning Program/Grade Access to Reports
The Edit Grades pencil icon will be fully displayed on the screen when specifying report access for admins by Program and Grade. Before this fix, certain screen resolution sizes did not fully display the Edit Grades icon.
Exporting Student Middle Name via PowerSchool API
This update is for sync service users with a PowerSchool API connection.
When exporting a student's middle name from the Enroll field `students.mname`, the value will now consistently move from Enroll to PowerSchool.
Field Requirements for TEA (Texas Education Agency) SID Field
Updated data validations have been added to the SID field for customers using TEA features to send waitlist data to the Texas Education Agency. The SID field will now permit 8 numerical digits after the S. Numerical digits can repeat but cannot repeat as the entire number.
- Valid SID: S11234567
- Invalid: S111111111 (9 numerical repeating digits)
- Invalid: S11111111 (8 numerical repeating digits)
Updated Sync to TEA Functionality: Removing Applications No Longer on the Waitlist
The sync to TEA feature has been enhanced to accommodate the following scenarios:
Scenario One: Existing functionality: One-time API sync of Waitlisted applications to the TEA server
- For organizations whose process consists of a one-time sync of waitlisted applications to TEA, the steps for performing the sync are outlined in this Help Article.
-
NEW: Add the field `lottery_rankings.lottery_list` to your TEA API Connection Mapping. This field is used by the system to determine if an application should be created on the TEA server.
- Any applications included in the TEA sync that are not on the Waiting list (and not already existing on the TEA server) will cause the sync to fail with the error message below.
Scenario Two: New functionality: Ability to perform follow-up API sync(s) to remove existing applications from the TEA server whose status has been changed from Waitlisted to Offered, Not Placed, or Withdrawn. This new functionality deletes the applications (whose status is no longer waitlisted) from the TEA server via the API sync.
Follow the steps below to configure your TEA sync to remove applications from the TEA server (whose status is no longer waitlisted):
1. Add a new field to your TEA API Connection Mapping: lottery_rankings.lottery_list
- Permission Needed to update connection mapping: Sync Service Full Access
2. From the Applications module, filter for the following statuses: (goal: to identify previously synced waitlisted applications whose status may have changed since your initial sync):
- Waiting List
- Offered List
- Not Placed
- Withdrawn and Not Withdrawn
3. Use the Bulk Action, `Sync to TEA API` option to export and/or update applications to the TEA server
- Permissions needed to Sync from Applications Module:
- Sync Service Full Access, or
- Sync Service Limited Access + Edit Applications + Edit Students
- NEW: The system will look for any applications on the TEA server that were previously Waitlisted, but now have an updated status of Offered, Not Placed, or Withdrawn. All applications no longer on the Waiting List in Enroll will be deleted from the TEA server via this API sync.
4. A new sync status of `Deleted` will be assigned to applications that are removed from the TEA waitlist via the API sync. The Deleted sync status may be found in multiple locations:
- Inside the individual application whose status was changed from Waitlisted, and was synced again to be removed from the TEA server
- As an option in the Sync Status quick filter on the Applications module
- On the export sync logs and Application Export Dashboard available under the 3-dot menu on the Texas Education Agency (TEA) API connection card
5. Any applications included in the TEA sync that are not on the Waiting list in Enroll (Offered, Not Placed, or Withdrawn) and not already existing on the TEA server, will cause the sync to fail with the error message below.
