2.5.2 Release Notes

User Permissions

Separate User Permissions: Manage Lottery Dashboard and View Lottery Dashboard

Prior to this update, the singular user permission: "View Lottery Dashboard" permitted admins to take both view and edit actions from the Lottery Dashboard. With this fix, two distinct permissions have been created to separate the ability to view and the ability to make changes:

  • View Lottery Dashboard: Ability to view lottery lists (based on program/grade access), including the ability to view the lottery section within an individual application 
  • Manage Lottery Dashboard: Ability to view lottery lists, adjust placements, make offers, update placement status, and publish results (based on program/grade access), including actions within an individual application

Update User Permission Name: "View/Edit Notes" becomes "View Notes"

The user permission only allows View access for Notes so the permission name has been updated to reflect the true functionality.

Tooltips on User Permissions Page

Tooltips have been added to all user permissions to provide additional details and dependencies.

 

Lottery

Position of Applications when Using "Adjust Placement" on the Waiting List + Running a Subsequent Lottery Pool

Using the "Adjust Placement" action to manually move a student up the waiting list to a higher position (out of sub-lottery order), and then running a second lottery pool, the application directly above the manually placed student WILL REMAIN IN THE POSITION ABOVE the manually placed student as expected.

Example: Claire is manually moved up the waiting list to a position just below Juan. A second lottery pool is run where other applications are merged into the waiting list based on sub-lottery/priority order. Claire remains below Juan and above Kyle, retaining the manual placement relative to the applications around her.

Display Grade-level Lottery Lists from Initial Lottery Run when Subsequent Lottery Pool Does Not Include Those Grades

If a lottery pool is initially run for a set of grades (i.e. 6,7,8) at a program, and then a second lottery pool is run for other grades at the program (i.e. 9,10), all grade-level lottery lists will be displayed on the Lotteries & Placements page.

Lottery Setting: "Allow Users (Guardians & Admins) to Accept/Decline Waiting List Placements"

For organizations that use the lottery setting "Allow Guardians to Accept/Decline Waiting List Placements" (internal setting enabled by SchoolMint staff), the setting has been updated to include Admin users and has been re-named to "Allow Users (Guardians & Admins) to Accept/Decline Waiting List Placements".

 

Email and Text Templates

Recommendations Email Templates: Student Annual Fields Available as Field Variables

If using the Recommendations functionality, recommendations email templates sent from the system can now be further customized with field variables from the student_annual table.

Email Templates Cannot Have the Same Name

An alert will be displayed if a new email template is created with the same name as an existing email template.

Email Templates Require a  Notification "Type" 

When creating email templates, the notification field "Type" is now marked with an asterisk as a required field to facilitate filtering based on type.

Email Template Type: Registration/Re-registration is not Available When Registration Module is Disabled

For organizations that do not use the Registrations module in Enroll, the dropdown menu will no longer display the Registration and Re-registration default email templates for selection.

 

Registration

Warning Modal when Changing a School Registration

The warning modal below will be displayed when submitting a new school registration that will auto-withdraw an existing registration.

Dynamic Views in the Registration Module Display Data from the "lottery_rankings" Table

When creating a dynamic view within the Registrations module, fields from the Lottery Rankings table will display data in the saved view as expected.

Registration Status (In Processing, Approved, or Denied) Displays on Student Registration Card in Student Profile

 

Students

Merge Duplicate Warning when Forms in Prior Years will be Deleted for Non-source Student (released early on November 12, 2024)

When merging duplicate students, if the NON-SOURCE STUDENT has records submitted in prior years that would be deleted as a result of the merge, the system will display the warning below and disable the "Merge Student Records" button. 

This temporary warning will be removed in December 2024 when an update to the Merge Duplicates functionality will be available that will include the ability to select forms from prior years to be moved to the Source student, if desired.

Student Profile Field: "student_annual.grade" Is Not Required to Save Information on the Student Profile

Updates to fields on the Student Profile page will no longer require the Grade field (student_annual.grade) to be populated.

Using the "Search by Student Name / Student ID" Filter when Viewing a List of "Show Duplicates Only" 

In the Students module, results will display as expected when viewing a list of "Show Duplicates Only" and then using the "Search by Student Name / Student ID" filter.

 

Performance

Bulk Action > Download Forms / Attachments

An update has been made to the Download Forms / Attachments functionality to prevent the download job from timing out when a large number of records are selected.
