All current Enroll customers should have received an email from SchoolMint Customer Success about the release. Please reach out to Customer Care (Support) or your Customer Success / Onboarding Specialist with questions, thank you!
Enroll 1.9 Release Notes
Sandbox Environment *ACTION REQUIRED*
- With the deployment of the v1.9 release, the Staging environment will be dedicated to internal release testing and should no longer be used by customers. Instead, we have created the Sandbox environment with all of the org data and functionality that was previously on Staging, including bi-weekly refreshes every other Sunday. Please point to the Sandbox environment for end-user testing. Example: org.sandbox.schoolmint.com where “org” is your organization’s subdomain name.
Dynamic Views: Customizable Columns *HUGE FEATURE ENHANCEMENT!*
We couldn’t wait for the winter release to get to you this amazing set of features for the Applications and Registrations tables! This is why we decided to add this last release to our summer series. Drum roll….
- Create custom table views on the Applications or Registrations tables by choosing which columns you want to view. You can choose up to 20 columns in a single view, though we recommend creating multiple views in that case for usability and to avoid too much horizontal scrolling.
- Choose a sort order for the Applications or Registrations tables. NOTE: Custom fields are text fields not numeric, so consider how the values in your custom fields might affect sorting. Some fields are not available for sorting at this time.
- View the list of applied filters at the top of the table so you know exactly what data you see in the table.
- Set a default view for yourself so you always see what you need when you go to the Applications or Registrations pages.
- Export a selected view to a CSV file including the columns and sort order you defined in the view.
- Added auto-collapsed Quick Filters for a better user experience.
- Clear All Filters was changed to Reset Filters since the button actually resets to the Standard View which filters for Submitted and Not Withdrawn applications or registrations.
- Known Issue: When editing a view from the Saved Views page, removing all custom filters will prevent you from saving the view. Instead, create a new view with only quick filters. A fix is targeted for an upcoming release.
Admin User Guide
We are thrilled to launch the beginning of a new Enroll Admin User Guide accessible right from within Enroll! Using Confluence as a platform, we will be able to publish updates and new content as quickly as it becomes available.
-
Access from within Enroll by opening the Need Help? side panel and clicking Enroll User Guide.
- Search for topics from the left navigation bar or by using the Search feature and entering a keyword. On the home page, you will also see which topics were updated or added most recently.
- You will see release notes, the release walkthroughs, and topics for each new feature in the Enroll User Guide so you don’t have to remember what release included which feature!
- We will publish updates and new content as quickly as it is ready, sometimes daily, so be sure to access the Enroll User Guide from the Need Help? side panel to view the latest content.
- The Enroll Admin User Guide is proprietary and confidential. Please do not share it outside your organization.
- Feel free to reach out to Customer Care for additional help or to give us feedback.
- Your patience and understanding as we build out the content are appreciated. It will take time to document the entire system but we’re on it!
- We are so excited to have this new forum to share detailed product information with you right from within Enroll and we expect it will grow into a very important resource for you and your teams.
User Experience / User Interface Updates
-
Updated the style for all drop-down menus on the Admin and Guardian pages for greater functionality and better usability on mobile devices.
- Added the page name and the currently selected school year to the sticky header and in the page title to be more prominent and accessible no matter where you are in Enroll. The school year color changes to orange when it is not the default school year to help your team and your families avoid making updates for the wrong school year. NOTE: based on beta testing feedback, we removed “SY” from the school year text but you will see that in our release walkthrough screenshots.
- Added a feature for guardians to show or hide form process steps to improve usability on mobile devices in particular.
- Added various usability improvements for conditional fields, downloads, and recommendations.
- Known Issue: We removed the Export Schedule button due to an issue with that feature. We are considering how to add Scheduling/Events to the Report Builder in an upcoming release.
Multiple Registrations Enhancement
- Previously, it was possible for a guardian to start multiple registrations for a single student. With this release, we’ve added validation so that a student will be allowed only a single registration at any given time. Submitting a new registration will withdraw any other existing registration forms for the same school and year.
NOTE: This update will NOT retroactively withdraw any existing registrations.
Calculated Fields Updates
- Improved validation for conditional fields in calculations. While the update resolves basic errors, please always check a calculation for accuracy when using conditional fields as part of a calculation.
- Added validation for duplicating a calculated field. To prevent broken calculations, duplicating a calculated field will be allowed only for the same active year and same form process.
- A form step with a calculation field type can still be duplicated. However, the fields need to be added back to the calculation engine. Because a calculation can be built using fields across multiple steps, we cannot assume all steps containing all fields were copied.
- Known Issue: Calculations are not currently available for Recommendation forms.
Download Forms/Attachments Update
- Download Forms/Attachments now support conditional fields by hiding in the PDF any fields that are hidden based on the Conditional Fields feature. We are not able to update any PDFs that have already been downloaded so to take advantage of this update, you will need to download the PDF again.
Auto-Decline
- Using the same setting as auto-decline for applications, sends a warning email to guardians at a set time prior to the deadline for auto-declining a registration.
- Updated the global lottery settings text and layout for auto-decline for clarity and usability.
- Fixed an issue related to the registration expiration date.
Report Builder Enhancements
- Added Recommendations as a data model for reporting with the following caveats:
- Some data is not available for Recommendations reports.
- Programs can be shown only as a comma-delimited list.
- Only Super Admins can run a Recommendations report because we are not able to honor school/program permissions.
NOTE: We will consider how to add functionality for Recommendations reporting in an upcoming release but we were thrilled to get this feature to you quickly based on customer feedback! - Unfortunately, our planned feature Schedule Exports is not quite ready for production. You can expect to see it debut in the next release targeted for December. To get a sneak peek, check out the 1.9 Feature Walkthrough on slide 27.
Sync Service Enhancements
- Added the School Year in the Sync header so that you can clearly see what school year context you are viewing, in particular for Sync Logs. Field mappings are not year-specific configurations nor are connections. When you are viewing the default school year, the header will show the school year in blue. When the school year is not the default school year, the header will show the school year in red.
TIP: The school year you are viewing in Sync is determined by the school year you are viewing in Enroll when you log in to Sync. Sync does not automatically change school years when you change the school year in Enroll. To view data for a different school year in Sync, change the school year context in Enroll and then log in again to Sync: Settings > Sync Service > Sync Service Login. - Removed the sync status “Action Required” based on feedback that it was causing confusion. Sync records in that state now show as Failed with an error message to help with troubleshooting.
- Added the ability to delete a table lookup configuration. When viewing the table lookup, clicking the trashcan icon deletes the table lookup if it is not being used for any other field mappings. Else you will see an error message asking you to remove the lookup from other field mappings before deleting.
- Updated the UI/UX in several places to help with clarity and usability.
- Added performance optimizations and bug fixes.
We hope you have enjoyed our 2022 Summer Series of Enroll Enhancements! We want to thank our Enroll Engineering teams for their partnership and hard work, and we appreciate the ongoing feedback and support from our colleagues across SchoolMint and from customers like you. Thank you.
We’ll see you soon with our Winter 2022 1.10 Release targeted for December. Stay tuned.
