Grade Levels |
A School Level is a category used to capture the grade levels offered by your organization (i.e. elementary, middle, high school, K-8, PreK - 12). The school level is one option in Enroll where you can set the default Registration/Re-Registration dates for all schools linked to a level. |
Schools/Programs |
|
|
Schools |
In Enroll, the School is where students will register and re-register (re-enroll). Registration forms are attached to a School. Families do not apply to a school in Enroll, they apply to a Program within a school. |

In Enroll, Programs are what students apply to and where lotteries are run. Programs exist within a school. Depending on your organization’s process and offerings, students can apply to multiple programs within a school (i.e. Arts, Magnet, STEM, Honors, etc.) OR a program can be used for different divisions (ex. male/female when you need to manage a 50/50 ratio; choice program vs transfer request, etc.). |

In Enroll, there is not an equivalent to the Open Enrollment period that was used in your SchoolMint Enrollment system to identify applications as eligible for the lottery. In Enroll, you can identify applications as eligible for the lottery by filtering based on your eligible date range, or you can create a flag to be assigned to applications that fall within your required date range for inclusion in the lottery. |

Roles |
In Enroll, permissions are managed at the User Group level. A User Group is assigned the ability to view or manage specific areas and take specifics actions in the site. Admins are assigned to a User Group to dictate their access and permissions across the site. |
Manage Users |
|
|
Admin |
In Enroll, Admin accounts can be restricted to specific programs and grades. When an Admin user account is created in Enroll a corresponding Guardian account is also created for that admin user. |

In Enroll, you can navigate to the guardian's profile and click the “Login As” link to be taken to the Guardian Dashboard and student’s records as if you were that individual guardian. Essentially, you impersonate the user which is helpful when troubleshooting and testing. Admin actions taken while logged in as Guardian are captured in Change History logs as the admin. |

A custom data source is a list of answer values that can be used as form field answers. This ensures consistent data capture for dropdown/radio/checkbox field types on forms. Examples of fields that might want to use a custom data source to match your SIS options: cities, countries, races, states, relationships. |

Eligibility rules can be created in Enroll to dictate which students may apply to a program or register at a school. The rules engine is used to identify the eligibility criteria. For example, only females may apply to an All Girls program, only 10th-12th Graders may apply to a Career program, or only students whose current school matches their registering school may complete the re-registration forms for that school. |

Polygons for School Zones/Districts |
Enroll allows you to manage and view boundaries within the platform. You have the ability to upload KML files, assign them to schools and grades, assign the boundary type (district, school zone, priority), check addresses inside/outside the boundary, and use them for eligibility rules, lottery priorities, flags, etc. In the SchoolMint Enrollment system, the ability to manage boundaries required engineering and CX support. |

|
Note |
In Enroll, a Note can be added to a student, application or registration record. Notes can be either internal: viewed by Admins only - or - external: marked as “Display to Guardians” to show the Note on the Guardian Dashboard and in the Guardian Message Center. The Enroll system does not currently have the ability to assign another Admin as the recipient of a Note. |

Custom Messages |
System/Platform Content |
In Enroll, you can search for system content across the platform (page titles, button names, header text, etc.) and customize it to your needs for each language enabled in your site. In your prior SchoolMint system, you had a handful of areas in the site highlighted in yellow where you could add content as a custom message. If you wanted to change system wording (buttons, etc.) in your prior system, you needed your CXM to do that on the back end. |

Process Alerts (bell icon) |
In the SchoolMint Enrollment system, as an admin you received an email notification when a background process (download, report, lottery run) was complete. In Enroll, in addition to the email sent to you by the system, you will also see a red dot on the bell icon in the upper righthand corner of the site. By clicking the bell icon, you are taken to a Process Alerts page to access and manage the download link(s) to your data. |

Rules Engine |
Enroll has a powerful tool that allows you to create your own rules, filters, flags, and priorities. In the SchoolMint enrollment platform, the engineering and CX teams were needed to configure the logic for key elements in the platform to meet your organization's needs year-over-year. |

Manage Forms |
Forms tab |
This is the area in Enroll where you will build your forms for all processes. |
Forms |
|
Packet of forms |
Form Process |
In Enroll, the form process is where you will collect information from parents for each type of process (i.e. application, registration, re-registration, recommendation, appeals). The form process defines the entire process a parent walks through, but it is also the collection of forms a parent must fill out. The SchoolMint equivalent is a packet of forms. |
|
|
Custom Forms |
Steps |
In Enroll, each process is made up of a series of steps. Each step is the equivalent of a form that contains your questions (i.e. Health Information, Home Language Survey, Acceptable Use Policy, etc.) Steps have settings that can be configured to show or hide a step to guardians based on rules that you create. |

|
Form Fields |
Form Fields |
The field is the question that a guardian answers on a step of your form. Admins can choose the desired field type such as text, number format, radio button, dropdown, checkbox, etc. The most notable difference in Enroll is that when creating the fields, you choose where in the database the field information will be saved. |

The Enroll platform provides a pre-built Student Information form process that contains the core fields required to create a student record in the system, as well as a few common fields you may want to use to capture student data. Guardians complete this form when first creating their student in the system. You have the ability to edit the Student Information form to meet your organization’s needs. |

Link Student By SIS ID |
In Enroll, the Student Lookup allows (or can require) a guardian to look up their student using the student's SIS information (First Name, Last Name, DOB, SIS ID) before continuing into a form. This is configured on the Student Information Form Process. Students must be imported into the Enroll system to use this feature. This option, when paired with Prevent Student Duplicates setting, effectively makes it impossible to create a duplicate student record of an existing student in Enroll. In the SchoolMint Enrollment system, the Link Student by SIS ID was an option that could be turned on in the back end. |

Activate the next enrollment year |
Rollover is the annual process of creating the next enrollment year in the platform. During this process, all year-specific information from the current year is copied to the next enrollment year. This includes all setup (i.e., schools, programs, and forms), students, and more. For the SchoolMint Enrollment system, this annual process was managed by the Customer Experience team. |
